What is a QR appointment booking page?

A QR appointment booking page is an online scheduling page visitors open by scanning a QR code. Premium QR Codes connects your services, available hours, booking destination and private appointment dashboard in one workflow. Visitors can also open the booking link directly.

From discovery to appointment

A clear next step. A calmer working day.

Help visitors understand what they can book, then keep the resulting appointments together.

Services with a purpose

Name each appointment and set its duration. Separate a short introductory meeting from a detailed consultation so customers understand what they are reserving before selecting a time.

A link and QR workflow

Share a booking destination in a message or email, then use a QR code to reach the same page from a business card, counter display or printed invitation.

An organized dashboard

Review appointments by status, search for a customer or service, and filter by date. Keep private preparation notes separate from the information shown on your public page.

From setup to sharing

How to create an appointment booking page

Start with a clear offer, publish accurate availability, and test the visitor journey before sharing.

01

Add your business and appointment details

Open Booking Studio and give the page an internal name you can recognize in your workspace. Add the business name and a customer-facing headline. “Book a 30-minute project consultation” explains the offer more clearly than a vague invitation to connect.

Use the description to explain what the appointment covers and what visitors should prepare. Only include information intended for the public page. Internal customer context belongs in your private notes, not in your headline or service description.

02

Create recognizable services

Add the services people can book and set their durations. An introductory call, a project review and a service visit may need different amounts of time. Give them distinct names and explain their purpose without asking customers to interpret your internal processes.

A small, understandable service list is easier to navigate than many overlapping options. If you need to assess a request before offering a meeting, collect that information through a lead form first.

03

Set hours and the business time zone

Choose the hours when you can accept appointments and select the correct business time zone. Review both before publishing, especially when your business serves people in different locations.

Availability is a promise about when you can meet. Keep it aligned with your working hours and review it when your schedule changes. The tool cannot account for outside commitments you have not reflected in its availability or booking workflow.

04

Publish your booking destination

Publish the page when its services, instructions and hours are ready. Copy the booking link for digital sharing and generate a booking QR code for printed materials. Add an instruction such as “Scan to book a consultation” beside the image.

Open the destination on a phone before distributing it. Check the service names, times and instructions, then test the QR code at its intended printed size. A large on-screen preview is not a substitute for testing the final material.

05

Review appointments and record outcomes

Select the page in Booking Studio and open Appointments. Search by customer name, email, phone or service, then use the date and status filters to focus on the records you need.

Add private notes for preparation and follow-up. Record completed or no-show outcomes after the appointment ends. Keeping attendance separate from cancellations helps the dashboard remain useful beyond the moment a reservation arrives.

Built around the actual work

Keep appointments in view, not buried in messages

Choose the view you need

Switch between All, Today, Upcoming, Past, Completed, Cancelled and No-show. These views help separate appointments that need attention from records you are reviewing later.

Find a customer or date

Search by name, email, phone or service and narrow the list by appointment date. The dashboard currently loads the latest 200 appointments for the selected page; its counts describe those loaded records.

Keep staff context private

Private notes give you space for preparation and follow-up details. They are separate from the customer’s submitted message and are not shown on the public booking page.

Where your customers discover you

One booking destination, online and offline

A link works in digital conversations. A QR code gives the same next step a place on printed materials.

Put your booking link in an email signature, a follow-up message or your social profile. Use a QR code on a business card, flyer, counter sign or event display when the visitor has a phone available and time to scan.

Explain the action beside the code. “Scan to book a consultation” is more useful than an unexplained image. If your page offers several services, make sure the surrounding text does not suggest a different appointment from the choices visitors will see.

Keep the QR code readable. Leave clear space around it, use sufficient contrast and avoid folding, cropping or covering the image. Test the final printed version and confirm that it reaches the correct booking destination. Good placement and clear instructions are part of the booking experience, not just finishing touches.

Choose your use case

A booking page for the way you work

Consultants and freelancers

Create a focused destination for discovery calls, project discussions or consultations. Explain the purpose of each service so prospective clients choose the right meeting. A QR code on a proposal or business card can provide a direct next step after an initial conversation.

Local service businesses

Let customers open your booking page from a counter display, handout or follow-up message. Describe the appointment and preparation requirements clearly. Include accurate location instructions when relevant rather than assuming every visitor already knows where to go.

Tutors, coaches and instructors

Separate introductory meetings from longer sessions when their purposes differ. Explain what a participant should prepare and what the appointment covers. Clear durations and available hours help people choose a suitable time without first exchanging several scheduling messages.

Events and exhibitions

Offer interested visitors a clear follow-up action after speaking with your team. A display that says “Book a follow-up consultation” explains the destination. Review availability before the event so your page reflects the appointment times you can actually offer.

Use the right tool for the next step

Appointment booking or a lead form?

When they are ready to choose a time

Use a booking page for a defined service with a duration and available appointment slots. It gives someone who is ready to meet a practical next step instead of another open-ended enquiry.

When you need to understand the request

Use a lead form for a quotation, custom project or request that needs assessment before scheduling. The two tools serve different stages of a customer journey: a form collects interest, while a booking page reserves time.

Clear expectations, before anyone reserves time

The current workflow provides on-screen booking confirmation. Automatic email confirmations and reminders are not enabled yet. Do not promise an email until that functionality has been connected and tested.

External calendar synchronization, online payment collection and automated rescheduling are not advertised as available features here. A useful booking page should describe the functions customers can actually use, not an untested feature list.

Creating and managing pages requires eligible Pro access. A public booking page must be active and the owner must retain the required access. Review your services, availability and publication status regularly so your shared link continues to reflect your business.

Appointment booking questions

What is a QR appointment booking page?

It is an online scheduling page opened through a QR code. Visitors review your services, select an available time and submit their contact details. The QR code is a way to reach the page, not the booking system itself.

Can visitors use a link instead of scanning a QR code?

Yes. Share the booking link in messages, emails or your social profile. A booking QR code provides another way to open the same destination from printed materials.

Can I offer more than one service?

Yes. Add multiple services with clear names and durations so visitors can select the appointment type that fits their needs. Keep the list understandable and avoid overlapping descriptions.

Where do new appointments appear?

Appointments appear in the selected page’s private Appointments dashboard. Search by customer or service, filter by date, and use status views. The dashboard currently loads the latest 200 appointments for that page.

Are private staff notes visible to customers?

No. Staff notes are private workspace information and are separate from the public booking page and the message submitted by the customer.

Can I record completed appointments and no-shows?

Yes. Record attendance after an appointment has ended. Completed and no-show outcomes are separate from cancelled appointments.

Does the tool send automatic email reminders?

Not currently. The booking workflow shows confirmation on screen. Automatic email confirmations and reminders are not enabled yet.

Is Pro access required?

Yes. Creating and managing booking pages requires eligible Pro access. Publishing and public booking availability depend on the page status and the owner’s eligible access. Visitors do not need to sign in to the owner’s workspace to book an active page.

Should I use a booking page or a lead form?

Use a booking page when someone is ready to reserve a time for a defined service. Use a lead form when you need to assess a request or prepare a quotation before scheduling.
